Who we are

Agency888 is a talent agency management platform operated by Agency888 Inc. ("we", "us"). This policy explains what personal information we collect, why we collect it, how it is stored and protected, and the choices you have. We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Information we collect

Account information: your name, email address, phone number and role on the platform, provided when your account is created.

Talent profile information: where you are represented talent, your profile may include physical attributes, skills, languages, photos, videos, measurements, and — where you provide them — date of birth, address and payment details. Sensitive fields such as date of birth, address, phone and financial details are encrypted at rest using AES-256 application-layer encryption.

Booking and payment information: records of sessions you book or host. Card payments are processed by Stripe; we never see or store full card numbers. We retain payment records (amounts, dates, references) for accounting and legal purposes.

Technical information: standard server logs (IP address, browser type, pages accessed) used for security and troubleshooting.

Connected calendars and Google user data

You may optionally connect an external calendar (Google Calendar or Microsoft Outlook) so the platform can display your availability and prevent double-booking, and — if you choose — so entries created on the platform appear in your own calendar.

Reading your calendar: when you connect a Google account we access, via the Google Calendar API: your list of calendars (so you can choose which one to sync) and the events of the single calendar you select — their titles, dates, times and free/busy status — within a window of seven days past to one hundred and eighty days ahead. Imported events are shown to other platform users only as anonymous "busy" blocks; event titles are visible only to you. Events you mark as "free" are displayed but never affect your availability.

Writing to your calendar: if you keep the "Add my platform entries" option enabled (you may turn it off at any time), entries created for you on the platform — such as availability holds, booked sessions and entries you add to your platform calendar — are added to the calendar you connected. We only ever create, update or delete events that the platform itself created; we never modify or delete any other event in your calendar.

OAuth access and refresh tokens are encrypted at rest. Calendar data is stored only as the calendar entries described above and is refreshed automatically.

You can disconnect a calendar at any time from your calendar page. Disconnecting immediately and permanently deletes the stored tokens and every event imported from that calendar, and removes from your calendar every event the platform added. You can also revoke our access from your Google or Microsoft account security settings, which prevents any further synchronisation.

Agency888's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: Google user data is used only to provide the user-facing availability, booking and calendar-mirroring features described above; it is not transferred to third parties except as necessary to provide those features, to comply with applicable law, or as part of a merger or acquisition with notice to you; it is never used for advertising; and it is never read by humans except with your explicit consent, for security purposes, to comply with law, or where the data is aggregated and anonymised for internal operations.

How we use your information

We use personal information to operate the platform: presenting talent profiles to casting professionals at your agency's direction, managing bookings and payments, sending transactional emails (such as booking confirmations and casting notifications), and keeping the platform secure.

We do not sell personal information. We do not use your information for third-party advertising.

Sharing and disclosure

Profile information is shared with casting professionals only through controlled, tokenised links generated by your agency, and only the limited fields configured for that purpose. Contact details, financial information and other sensitive fields are never included.

We use a small number of service providers to operate the platform — payment processing (Stripe) and email delivery. Each receives only the information necessary to perform its function.

We may disclose information where required by law, such as in response to a court order.

Storage, security and retention

Data is stored on servers operated by us. Sensitive fields are encrypted at rest; all traffic is encrypted in transit (HTTPS); access is role-restricted and protected by two-factor authentication.

We retain personal information while your account is active. Expired or cancelled accounts enter a holding state and become eligible for permanent deletion in line with our account lifecycle, after which data is purged except where retention is legally required (for example, financial records).

Your rights

You may access and correct your personal information through your account, or by contacting admin@agency888.com.au. You may request deletion of your account and data, disconnect any linked calendar at any time, and unsubscribe from non-essential emails using the link included in every message.

If you believe we have mishandled your personal information you can complain to us at admin@agency888.com.au, and if unsatisfied with our response, to the Office of the Australian Information Commissioner (OAIC).

Changes to this policy

We may update this policy from time to time. The date at the top shows the latest revision; material changes will be notified within the platform.
